How to Connect WhatsApp to Your CRM — A Guide for Businesses

In short: To connect WhatsApp to a CRM reliably, you need the WhatsApp Business API (not the regular app). On top of it there are three approaches: a built-in CRM integration, a business WhatsApp platform that connects to the CRM, or a connection through an automation tool like Make or n8n. Start by deciding what needs to sync — conversations, leads, statuses — and only then choose an approach.

In Israel, customers prefer to write on WhatsApp rather than send an email or fill out a form. The result: most important conversations sit on a rep's phone, while the CRM — the place where the business is supposed to see the customer — is empty. Connecting the two is one of the improvements with the fastest return.

Tools that connect the regular app to a CRM "behind the scenes" are unofficial and may get your number blocked. For a business connection, work through the API.

Three Ways to Connect WhatsApp to a CRM

1. Built-in CRM integration

Some CRM systems have a built-in WhatsApp connection or an app in their integration marketplace. This is the simplest route when it covers what you need. It's worth checking exactly what it syncs — sometimes it only sends messages, without saving the conversation.

2. A business WhatsApp platform that connects to the CRM

A dedicated platform manages your team's WhatsApp inbox (conversation assignment, templates, bot) and syncs contacts and conversations to the CRM. It's a good fit when you have a service or sales team that works in WhatsApp all day.

3. Connecting through Make / n8n / Zapier

An automation tool receives events from the WhatsApp Business API and performs actions in the CRM — opens a lead, adds a note, changes a status, and sends a message when something changes in the CRM. It's the most flexible option, and suits cases where you need logic specific to your business.

What to Sync

  • New lead — a message from an unknown number opens a lead with the source "WhatsApp."
  • Conversation history — the messages, or a summary of them, in the customer record.
  • Assignment — the conversation goes to the rep responsible for the customer in the CRM.
  • Messages by stage — when a status changes in the CRM (meeting scheduled, proposal sent), the customer receives a templated message.
  • Follow-up — a reminder to the rep, or a message to a customer who didn't respond.

The Steps in Practice

  1. Define what needs to sync — lead, conversation, status — and in which direction.
  2. Open the WhatsApp Business API through an authorized provider, with business verification in Meta Business.
  3. Get message templates approved by Meta for business-initiated messages (reminders, updates).
  4. Build the connection using one of the three approaches.
  5. Test end to end — new lead, existing customer, duplicates, a rep on vacation.
  6. Train the team to work from the connected system rather than from their personal phones.

This is exactly the type of integration we build — see CRM integration.

Example: What It Looks Like at a Real Estate Agency

  1. A lead from a Facebook ad writes on WhatsApp: "Looking for a 4-room apartment to rent in Ramat Gan."
  2. A lead is opened in the CRM with the source "WhatsApp — rental campaign," the phone number, and the question.
  3. Based on the area, the lead is assigned to the agent responsible for Ramat Gan, and she receives a notification.
  4. The agent replies from the team's WhatsApp inbox — and the conversation is saved in the customer record.
  5. When she changes the stage in the CRM to "Tour scheduled," the customer automatically receives a confirmation message with the address and time.
  6. If there's no update two days after the tour, the agent receives a reminder to follow up.

None of this requires the agent to copy information — and when she's on vacation, whoever covers for her sees the entire conversation.

Common Mistakes When Connecting WhatsApp to a CRM

  • Using an unofficial tool that connects the regular app — it works until the number gets blocked.
  • Every message becomes a "new lead" — without duplicate checking, the CRM fills up with duplicate records of the same customer.
  • Saving every message as a separate record — the customer record becomes unreadable. Usually it's better to save a conversation or a summary.
  • No owner for the conversation — several reps reply to the same customer at the same time.
  • Unapproved templates — business-initiated messages fail because the template wasn't approved by Meta.

Privacy and Consent to Receive Messages

Meta requires that the customer has given consent (opt-in) to receive business-initiated messages, and in Israel the Communications Law (Section 30A, the "Spam Law") requires prior consent for sending advertising materials. In practice: replying to a customer who contacted you is fine; marketing messages — only to those who agreed, with an option to unsubscribe. If you send marketing messages at scale, it's worth consulting an attorney.

As for security: the connection should have minimal permissions in the CRM, and conversations with sensitive information (health, finances) should be stored only in a place designated for that.

How Much Does It Cost

There are three components: the platform or API (monthly subscription), payment to Meta for business-initiated messages, and building the connection itself. A focused integration — new lead and saving the conversation — is included in our entry package; several integrations with stage-based messages and a dashboard — in the full system. Details are on the pricing page.

Frequently Asked Questions

Can WhatsApp be connected to monday?

Yes — through apps in the monday marketplace, through a business WhatsApp platform that connects to it, or through Make. The choice depends on whether you only need to send messages, or also save conversations and open leads.

What about Fireberry and Powerlink?

The same principles apply: first check what the system's existing connection covers, and fill in what's missing through an automation tool.

Can I keep my existing conversations from the phone?

Conversations held in the regular app don't transfer automatically. From the moment you move to the API, every new conversation is saved.

How long does the connection take?

Business verification in Meta and opening the API — usually days to two weeks. The connection to the CRM itself — one to two weeks, depending on what you sync.

How many reps can work on the same WhatsApp number?

Through the WhatsApp Business API and a team platform — as many as you need, with conversation assignment to a rep. In the regular app it's limited to linked devices.

Can I send messages from within the CRM?

Yes. A message to a customer who contacted you within the last 24 hours can be sent freely; outside that window — only with a template approved by Meta.
